Privacy Policy

We take your personal data seriously. This policy explains how Oakville Wellness collects, uses, retains and protects information, and how you can exercise your rights under Hong Kong law.

This Privacy Policy applies to oakvilles.com (including Chinese pages) and to personal data collected when you interact with us via this website, WhatsApp, telephone or in person at the clinic. We handle personal data in accordance with Hong Kong’s Personal Data (Privacy) Ordinance (Cap. 486) and related guidance.

1. Data user

The data user is Oakville Wellness (頤安本草 · 伍厚臻中醫診所), Unit 602, 6/F, Kam On Building, 176A–176F Queen’s Road Central, Central, Hong Kong. The principal practitioner is Dr. Ng Hau Jun, Hong Kong registered Chinese medicine practitioner (registration no. 003769).

2. Categories of data we collect

Depending on how you contact us, we may collect:

Contact and booking data: name, phone number, WhatsApp number, email (if provided), preferred appointment times, and a brief description of your enquiry.

Health-related data: symptoms, medical history, medication or allergy information, and Western medical reports or lab results that you voluntarily provide. This sensitive data is collected only as needed for consultation, follow-up and clinic operations.

Technical and usage data: device type, browser, approximate region, pages viewed and interaction events via cookies or similar technologies (see section 7).

We do not ask for data unrelated to booking or care. Data about minors should be provided by a parent or guardian with their consent.

3. Purposes of collection

We collect personal data primarily to:

(a) process bookings, rescheduling, cancellations and pre-visit communication;
(b) provide Chinese medicine consultation, treatment follow-up and related administration;
(c) respond to enquiries, handle complaints and improve service quality;
(d) meet legal or regulatory record-keeping, reporting or verification duties;
(e) where consent is obtained or the law permits, send clinic notices or service information (you may opt out at any time);
(f) operate, secure and analyse the website and improve our services.

If we intend to use data for a new purpose beyond those above, we will notify you where reasonably practicable and obtain consent where required by law.

4. Use and disclosure

We do not sell your personal data. We may disclose or allow processing of data where:

(a) Service providers (e.g. hosting, analytics, messaging platforms such as WhatsApp/Meta, telecoms) need it to perform their services;
(b) Professional advisers (legal, accounting or insurance) act under confidentiality;
(c) Law or authorities require disclosure pursuant to a lawful request;
(d) You instruct us (e.g. referral to another practitioner or a copy of records).

For referrals or collaboration with other providers, we will verify identity where reasonable and disclose only what is necessary.

5. Retention

We retain personal data for as long as needed for clinical, accounting and legal purposes. Website enquiry and booking records may be deleted or anonymised within a reasonable period after handling; clinical records are kept in line with professional practice and applicable rules. When retention ends, we destroy or anonymise data securely.

6. Security

We apply reasonable administrative, technical and physical safeguards, including access controls and clinic privacy arrangements. Transmission over the internet or messaging apps is not completely secure. If you contact us via WhatsApp or similar platforms, their privacy policies also apply.

7. Cookies, analytics and advertising technologies

This site may use cookies or similar technologies for basic functions, to understand how visitors use the site, and (where enabled) to measure marketing performance. We may use Google Tag Manager, Google Analytics 4 (GA4) and related Google services. These tools may collect device identifiers and browsing behaviour that do not directly identify you, and may transmit data to providers outside Hong Kong.

You can refuse or delete cookies in your browser settings; some features may then be limited. If we introduce additional tracking or remarketing tools, we will update this policy.

8. Access and correction

Under the PDPO, you may request access to personal data we hold about you and correction of inaccurate data. We may charge a fee permitted by law for access requests and will respond within the prescribed period.

Please submit requests in writing with enough information for us to verify your identity. See section 10 for contact details.

9. Direct marketing

If we intend to use your personal data for direct marketing (e.g. clinic services or events), we will obtain any consent required by law and provide an opt-out. You may ask us to stop marketing messages at any time via section 10; we will not charge for this.

We may update this Privacy Policy from time to time. The revision date appears at the top of this page. Continued use of the website or our services indicates awareness of the then-current version. For material changes, we will provide notice on the site where reasonably practicable.
